1. About These Terms

These Terms of Service govern your use of biflo.ai, an AI-powered voice receptionist service for UK hair salons operated by KRM Consultants Limited (trading as biflo.ai) (registered in England and Wales, company number 10021206).

By signing up for an account or using the service, you agree to these terms. If you do not agree, do not use the service.

2. The Service

biflo.ai provides an AI voice receptionist that answers telephone calls on behalf of UK hair salons, handles booking enquiries, takes messages, and transfers calls to salon staff. The service is intended for legitimate business use by UK businesses only.

We are not liable for outages caused by third-party providers (LiveKit, Telnyx, Supabase) beyond our reasonable control. We target 99.9% monthly uptime.

3. Subscription Plans and Pricing

We reserve the right to change pricing with 30 days notice.

4. Free Trial

New customers receive a 14-day free trial. No credit card is required to start the trial. At the end of the trial, your account will be paused unless you select a paid plan. Trial data will be retained for 30 days after the trial ends.

5. Billing and Payment

Subscriptions are billed monthly in advance via Stripe. Accepted payment methods include credit/debit cards and Bacs Direct Debit (for UK bank accounts).

If a payment fails, we will retry up to 3 times over 7 days. We do not store card details - all payment processing is handled by Stripe.

6. Cancellation

You may cancel your subscription at any time via the billing portal in your dashboard. Cancellation takes effect at the end of the current billing period. We do not offer refunds for partially used billing periods except where required by law.

On cancellation, your data will be retained for 30 days then deleted, unless you request earlier deletion.

7. Acceptable Use

You may use biflo.ai only for lawful UK business telephone reception. You must not:

• Use the service for any illegal purpose or in breach of UK law
• Use the service outside the United Kingdom without our written consent
• Attempt to deceive, defraud, or mislead callers
• Reverse-engineer, copy, or create derivative products based on the service
• Resell or white-label the service without our written agreement

We reserve the right to suspend or terminate accounts that breach these conditions.

8. Data Processing

When you use biflo.ai to handle calls on behalf of your salon, you are the data controller and we are the data processor. This processing is governed by our Data Processing Agreement, which forms part of these terms.

You are responsible for ensuring callers are informed that calls are AI-handled and may be recorded, as required by UK GDPR. You must have a lawful basis for processing caller data.

9. Limitation of Liability

Our total liability shall not exceed the subscription fees paid by you in the three months preceding the event giving rise to the claim.

We are not liable for: indirect or consequential losses; loss of profits or revenue; loss of appointments or clients. Nothing limits our liability for fraud, death, or personal injury caused by our negligence.

10. Intellectual Property

biflo.ai and all associated software, trademarks, and content are the property of KRM Consultants Limited (trading as biflo.ai). You are granted a limited, non-exclusive licence to use the service during your subscription. Call transcripts and booking data generated by your use belong to you.

11. Changes to These Terms

We will notify you by email at least 30 days before material changes take effect. Continued use of the service after that date constitutes acceptance of the new terms.

12. Governing Law and Disputes

These terms are governed by the law of England and Wales. The parties agree to attempt resolution through good-faith mediation before commencing legal proceedings. The courts of England and Wales have exclusive jurisdiction.
